When should speakers and facilitators join their session?
Speakers and workshop facilitators are kindly asked to join the Zoom meeting around 15–20 minutes before their scheduled slot. This allows time for technical checks and the assignment of co-host rights where relevant.
How long should my presentation be?
Standard presentations are allocated 20 minutes including Q&A. Keynote speakers have 1h including Q&A. Specific timing will be confirmed in your speaker briefing.
What technical requirements do I need for presenting?
You'll need a stable internet connection, a computer with camera and microphone, and the latest version of Zoom installed. We recommend testing your setup in advance.
Can I share my screen during my presentation?
Yes, screen sharing will be enabled for all speakers. Please prepare your presentation materials in advance and ensure they're accessible on your presenting device.
Can breakout rooms be used during workshops?
Yes. Breakout rooms may be used for small-group work or discussion. Facilitators planning to use them should ensure that any content requiring wider visibility or documentation is kept in the main Zoom room.
Can facilitators prepare breakout rooms in advance?
If a workshop requires named or pre-structured breakout rooms, these can be arranged beforehand. Facilitators should share the number of rooms and preferred names so they can be prepared in advance or checked during a rehearsal session.
What if I experience technical difficulties during my presentation?
Our technical support team will be monitoring all sessions. If you encounter issues, signal to the session moderator who can assist or contact our support team immediately.
Will there be a rehearsal before the event?
Yes, we will schedule a rehearsal for all speakers prior to the event. This will be an opportunity to test your setup and ensure everything is working smoothly. There would be some preparatory sessions, including a technical check and a run-through of the presentation format, normally a week before the event. Our experienced team will guide you through the process.
Do I need to use a specific template for the presentation?
No, you are not required to use a specific template for your presentation. However, we recommend keeping your slides visually engaging and not overcrowded with text. Consistent branding and clear visuals can enhance your presentation.
What if I may want to use or share a video or audio clip during my presentation?
Yes, you can use or share video and audio clips during your presentation. Please ensure that you have the necessary permissions to use any copyrighted material and that your clips are properly formatted for playback. Please refer to the Zoom Guide for familiarization with the platform. The prior rehearsals will help you test your clips and ensure they work as expected.
What should I do if I cannot find my Zoom access link on the day?
